Clock-in tablet

A shared tablet at the workplace where staff clock in and out with their own PIN.

A clock-in tablet stays at the workplace. Staff clock in and out on it with their own PIN, so nobody needs their phone and nobody can clock in for someone else. The times it records are the same actual hours as clocking in on the phone (Clocking in): they feed the pay estimate and the labour cost in the same way.

The tablet is not anyone's account. It sees only today's (and yesterday's) shifts of its workplace and the team's names and photos. It shows no pay, no contacts and no other screens.

Set up a tablet (managers)

  1. On your own phone, open More → Workplace settings → Clock-in tablet and tap Pair a tablet. Give it a name, e.g. Bar tablet, and tap Get a code.
  2. On the tablet, install EVoShift and open it. On the sign-in screen tap Pair as a clock-in tablet and type the 8-character code.
  3. The tablet shows Who's clocking in? with today's shifts.

The code works once, for 10 minutes. If it expires, get a new one.

A tablet can also be an Android tablet or Chromebook / Googlebook, in landscape or portrait.

Keep the tablet on EVoShift

  • Android: the app pins itself to the screen when it opens in tablet mode. The first time, Android asks to allow screen pinning. On a device set up as a dedicated device (device owner), it locks fully without asking.
  • iPad: apps cannot pin themselves. Turn on Guided Access: Settings → Accessibility → Guided Access, then open EVoShift and triple-click the side (or Home) button.

Your PIN (everyone)

Each person sets their own 6-digit PIN in the EVoShift app: Profile → Tablet PIN. Type it twice and tap Save PIN. You can change or remove it there any time.

  • Keep it to yourself: the PIN proves it is you clocking in.
  • EVoShift never stores the PIN itself, only a protected (salted, hashed) form of it, and never shows it to anyone, managers included.
  • After 5 wrong PINs, the tablet stops accepting yours for 15 minutes. Setting a new PIN in the app lifts this at once.

No phone? A manager can't set a PIN for you, so set it once on any device where you can sign in, for example in a web browser.

Clock in and out on the tablet

  1. Tap your photo or name. People are sorted by the start of their shift.
  2. Type your PIN.
  3. Tap Start shift or End shift: the tablet chooses for you.
  4. The tablet confirms the time (Shift started at 07:58) and goes back to the list after a few seconds.

Clocking in opens an hour before the shift starts, just like on the phone. Not on the list? Tap Someone else and search for your name. The tablet clocks the shift you have now; if you have none, it says so — ask your manager.

The tablet goes back to the list by itself if nobody touches it for 30 seconds.

Or scan the tablet's code with your phone

Next to the list (above it on a tablet held upright) the tablet shows a QR code with Scan with the EVoShift app. The code changes every few seconds.

  1. In the EVoShift app on your phone, on Home, tap Scan the tablet's code under the clock button. It is there when you can start or end a shift.
  2. Point the camera at the tablet's code.
  3. The app confirms Shift started at 07:58 (or Shift ended at …).

No PIN is needed: you are signed in on your phone, and the code proves you are at the tablet. Each code works once per person, and only for about 20 seconds, so a photo of it sent to someone elsewhere is soon useless. The same clock-in rules apply as on the tablet and the phone.

  • Android: Google's code scanner opens; EVoShift gets only the code, not the camera.
  • iPhone / iPad: the first time, allow EVoShift to use the camera. The picture stays on the phone; only the code is read.
  • Web: works in browsers that can read QR codes themselves (Chrome and Edge on Android, ChromeOS and macOS). Elsewhere the button is not shown; use your PIN on the tablet.
  • Desktop app: no scanning; use your PIN on the tablet.

Without internet the tablet hides the code and shows PIN only while offline: the code has to be checked by the server, the PIN does not.

Managers can turn the code off in Workplace settings → Clock-in tablet → Clock in by QR code. The PIN always works.

Checklists on the tablet

If your shift has checklists (opening, closing or others your manager set up), the tablet shows them:

  • When you end your shift: the checklists not finished yet come first. Tick what you have done; a task with a note icon needs a few words (the float counted, a fridge temperature). Tap End shift when everything is ticked, or Skip and end shift to go without finishing. Your shift ends only when you tap one of them.
  • When you start your shift: your opening checklist, if you have one. Tap Done or Skip.

Ticks are saved with your PIN, the same as clocking. A skip is recorded, and if the closing checklist stays unfinished, you and your manager still get the reminder after the shift. You can finish any checklist later in the app (Home → Checklists today).

The tablet needs internet for checklists. Without it, your clock-out is still saved (see below) and the tablet tells you to finish the checklist in the app.

Without internet

If the tablet has no internet, it still accepts your tap: it saves the time on the tablet and shows Saved without internet. The top of the screen shows how many clock-ins are waiting. Once the tablet is back online it sends them, with the time you tapped. A clock-in that the server then refuses (for example with a wrong PIN) is not saved; the tablet says so, so tell your manager.

See how a shift was clocked (managers)

In the roster, a shift clocked on the tablet shows via tablet under its actual times, via QR code when the person scanned the tablet's code with their phone, and sent later (no internet) when it was saved offline. Times a manager corrects are marked as the manager's.

Unpair a tablet (managers)

In Workplace settings → Clock-in tablet you see each tablet and when it was last used. Tap Unpair to stop a tablet at once, for example if it was lost or stolen. To use it again, pair it with a new code.

Leave tablet mode

Tap the lock in the top corner of the tablet, choose yourself (managers only) and enter your PIN. Clock-ins still waiting to be sent must go first, so connect the tablet to the internet before leaving.

Enter the day's tips (managers)

Tap Tips (the hand with a heart) in the top corner of the tablet, choose yourself and enter your own PIN. Type the tips collected today and tap Split the tips: the tablet shows each person's share, by the hours they clocked today (less the unpaid break). Tap Change the amount to correct it. Wrong PINs count towards the same lockout as clocking in.

When someone clocks out after the tips were entered, the confirmation shows their own share for the day, never anyone else's. People who clock out later are added to the split as they do. EVoShift only splits the tips: whether and how they are taxed or reported is for the employer and their accountant.

QR code only

Where the workplace sets QR code only on the tablet (see clock-in checks), the tablet takes no PINs: tapping a name asks to scan the code with your own phone. Leaving tablet mode still uses a manager's PIN.

Someone without a shift

Clocking in with no shift of your own is not refused: if a colleague's shift starts now, you are recorded on it (Unplanned clock-in instead of Kasia); if nobody is scheduled, as an unplanned shift. A manager confirms it under To review.

Clock-in photo (only where the employer turns it on)

Off by default. Where the employer turns it on, after a PIN clock-in the tablet asks for a photo taken with its camera. You can skip it; the clock-in stands. The photo is a small square without any metadata, visible to the workplace's managers only, deleted after 30 days and never used for face recognition or matching. Employers must carry out a data protection impact assessment and inform staff before turning it on.
