Can't work a shift? Give it away on the marketplace or ask a colleague directly. Free shifts can be taken by anyone on the team. The workplace's swap policy decides where a manager has to agree.
Give a shift away
- In My shifts, tap your shift and then Swap / Change (Can't work on that day?).
- Choose:
- Put on Marketplace: the whole team can see the shift and take it.
- Swap with person: Select person to ask one colleague; they get a notification. First come those available that day and not working, then those who have not answered, the unavailable and those working that day (each marked). When the shift has a role, only people in that role are listed. In Note (optional) you can say why you give the shift away; the manager and the colleague taking it see it.
- The shift shows where it stands:
- Waiting for manager: a manager has to agree before it goes on the marketplace.
- On the marketplace: anyone can take it.
- Taken, waiting for approval: a colleague took it and a manager confirms the handover.
- Rejected: the manager said no; the shift stays yours. Their note shows as Manager Note.
Plans changed? While the request waits (for the manager, on the marketplace or for a handover to be approved), open the shift and tap Withdraw request.
Until someone takes it over, the shift is still yours: work it if nobody does.
Take a shift
- In My shifts, switch to Marketplace shifts. Notifications tell you when a shift is up for grabs.
- Tap a shift and Take this shift.
- Depending on the policy, either The shift is yours. or Request sent. A manager will confirm it.
You cannot take your own shift or one that overlaps a shift you already work. If someone was faster, the app says the shift is no longer on offer.
Open shifts
Managers can publish shifts without a person, marked as Open shift. They appear on the marketplace for the whole team and are taken the same way.
Swap policies A to D
Set in Workplace settings → Swap Policy:
| Type | Before it goes on the marketplace | When someone takes it |
|---|---|---|
| A: Straight to the pool | no approval | the shift is theirs at once |
| B: Manager approves the swap | no approval | a manager approves |
| C: Manager lets it into the pool | a manager agrees | the shift is theirs at once |
| D: Manager approves both steps | a manager agrees | a manager approves |
Approve or reject requests (managers)
Requests waiting for you are in Requests (in the bar for managers, otherwise under More), in two columns: Absences and Shift swaps. The dashboard and the Requests tab (or More) show how many are waiting, and you get a notification for each new one.
- Approve: the shift goes on the marketplace, or to the person who took it, at once. Approved. shows with Undo, which puts the request back as it was.
- Reject: asks first, with an optional Reason. The shift stays with its owner, who sees that it was rejected and why.
Approved requests move to Accepted requests.
