Availability

Filling in availability as an employee and collecting it as a manager.

Before a month is planned, the manager can ask the team when they can work. Employees answer in the app, day by day, and the manager sees the answers while assigning shifts.

Fill in your availability

  1. Open Availability. Active Requests lists the months you are asked about, with the deadline (Submit by) and how many days are left.
  2. Tap Fill Availability.
  3. Pick a day in the calendar and mark it Available or Unavailable.
  4. For an available day, Select Preferred Shifts: the parts of the day that suit you, e.g. Morning or Evening. Add a note if needed ("From 8:00", "Only until 15:00").
  5. Your answers are saved as you go (Auto-saving...). The bar at the bottom counts the days available and the hours you declared.
  6. Tap Send when the month is done.

If your manager asks about part of the month only, the form says which days ("Asked for days 16–24") and the other days are greyed out; you can still fill them in.

The whole month at once:

  • As last month copies the previous month weekday by weekday (the 2nd Monday from the 2nd Monday; a 5th from the last one). It copies the status and hours, not the notes.
  • Every day: available marks every day the manager asks about.
  • Long-press a day to select several, tap more, then choose Available or Unavailable for all of them.

Available days carry a ✓, unavailable ones a ✕ (legend above the calendar). Type hours as "08:00"; the field says when the other time is missing or the end is before the start.

Changed your mind? Open the month again and tap Modify Submitted Availability.

Several workplaces

If you work at more than one workplace, you fill in your availability once for all of them. Each workplace sees it in its own time slots, and a request from any of them is answered by the same month: the form says where it goes ("It goes to: …").

  • Hours you can work: enter From and To for a day (e.g. 08:00 to 14:00). Leave both empty when you can work all day. Each workplace reads your hours on its own slots; hours that miss all of a workplace's slots count as unavailable there.
  • Show this comment to this workplace only: tick it under the note when the note is meant for one workplace ("I'll return the keys on Friday"). Other workplaces never see it.
  • Workplaces of the same owner always get your availability. Another employer gets it when you fill it in at one of its workplaces, or when Share my availability with all employers is on. The app asks once, when you start working for a second employer; you can change it in Profile. Other employers never see where else you work.

Week templates

If your weeks look alike, save one as a template and fill in a month in seconds:

  1. In Availability, under Quick Templates, tap Create New Template.
  2. Name it, e.g. "Standard week" or "Exam period", and set each day of the week: available (with preferred shifts) or unavailable.
  3. In the month's form tap Apply week template, choose the template and the weeks, and tap Apply. Adjust single days afterwards if needed.

Ask the team (managers)

A request for availability is sent per month:

  1. Finish the month's skeleton; the app then offers to ask the team. You can also use Request Availability on the month in Rosters.
  2. Set the Planning Period (start and end date), the Deadline and the Message to employees.
  3. Tap Send Request. Everyone active at the workplace gets a notification and sees the month under Active Requests.

Use Change Availability Request to move the deadline or change the message.

The Planning Period can be part of the month (e.g. the 1st to the 15th) but not reach into another month. To see who has answered and whether the team covers the month, open Capacity; it can also remind those who have not answered.

Using the answers

While you assign shifts, the person list shows each person's answer for that day: available with their preferred shifts and note, unavailable, or No availability given.

Assigning someone on a day they marked as unavailable shows a conflict warning; you can still Assign anyway if you agreed it with them.

Availability slots

The parts of the day people choose from are set by the workplace in Workplace settings → Availability Slots. If you see no choices when filling in a day, ask your manager to add them.
