Sick leave, holidays and other time off are requested in the app. A manager approves them, and the shifts that fall on those days are freed so someone else can cover them.
Request time off
- Open Absences and tap New Absence Request.
- Choose the Absence Type: Sick leave, Vacation, Leave on demand or Force majeure leave.
- Set the Start Date and End Date (both days included).
- For sick leave paid at 100% (the sick note says so, e.g. in pregnancy or after an accident on the way to work), switch on Sick pay at 100% (if the sick note says so). Only the rate is kept, never the reason.
- Add a Note (optional) if it helps your manager.
- Tap Submit Request.
Do not enter medical details or a diagnosis: the type of absence is enough. The note can be at most 200 characters.
Follow your request
Active Requests shows what is waiting, with its status: Pending, Approved or Rejected. Past absences are under History. While a request is pending you can Modify it or Cancel Request.
Approve or reject (managers)
New requests reach the managers as a notification and appear in Requests → Absences.
- Approve: when no shift loses its employee, the absence is approved at once and Approved. shows with Undo (the request is pending again). Otherwise Approve absence first shows how many shifts will lose their employee (Shifts that will lose their employee: 2). After approval those shifts become open, ready to be reassigned in Build Roster or offered to the team.
- Reject absence leaves the shifts as they are. You can add a Reason; the employee sees it on the request (Reason for rejection: …).
Absences and the roster
Approved absences count as absence days in the working time record. Approved sick leave and annual leave also go into the pay estimate: sick pay, the ZUS sickness benefit and holiday pay, and the shifts on those days that nobody clocked are not paid. After approving sick leave in a published month, check its open shifts and find cover.
